Board Meeting 6/3/09

- We will need to plan for several possible solutions to getting water on the assessment trip. We might decide we should drill a well, pump from the river, etc.
- There will be some summer meetings
- Right now the trip will likely be 3 students and a professional
- The chapter has $5360 (-the debt from the El Salvador project = 4000 total). A $500 COE check is coming along with another $500 donation for the Kenya project
- They estimate $800 total for group in country expenses.
- $2000-2500 will probably be required from the general fund
- There is the possibility that some more people might donate miles or money.
- After the trip a brochure to send out asking for donations will be made
- They hope to leave around Aug. 25, though the trip may be pushed to December due to tight funding. This would also give them more time to fundraise
- Can money be approved before TAC approval? We want to avoid that if at all possible, its too much risk
- Would travel insurance be cheaper than buying refundable tickets? They might not cover us, and then we would be forced to waste the money spent on the ticket
- They want to apply for the june 17th TAC deadline
- It already costs $2000 to travel in July and $1465 for August
- We should either wait for TAC or research refundable tickets
- Fuel prices are also at a high now, so we will probably have enough time after TAC to buy reasonable tickets. This will also be more inline with our protocols. The trip can always be pushed back, too, giving more time to fundraise
Somebody asked lyndsey about paypal on the website
- Can donate to national website already, but we’re not sure if all of the money goes directly to us
- A paypal fee might be covered by west coast regionals, we will do this if donating to nationals doesn’t go directly to us.
Game day parking
- We need to find a way to divide the profits fairly between groups
Birde has been working with an elementary school class, to raise money for us. They want to present us with a ~1000 dollar check tomorrow or Friday
