Board Meeting 10/7/09

General:

  • Calendar – in progress, just includes banquets/trips so far. We will add meetings
  • Invoice from nationals – $400 annual fee due Oct 31st
  • All parking fundraisers will go to general fund after this series of football/basketball games
  • We will reinstate a weekly email list to cut down on emails
  • Should we make second listserv for alumni, etc?
  • The first one will go out next Tuesday
  • We will consider raising dues next year
  • late dues should be $5 more after maybe Oct. 31st
  • We will remind people about them tomorrow, then announce the late fee next week
  • We need to have workshops lined up for people to pay dues

Bank account:

  • We have $3466
  • Lyndsey will ask Rob if this includes project funds/debt

Funding request for conference from Kendra:

  • In the past the club has given about $500 for travelers
  • We need to consider how it will affect them, saving for rainy day, how it will appear to college, etc
  • in the past money has been per student
  • after we figure out how much is actually in the general fund we will make a decision
  • We will give $300 if there is less than 6000 total and $500 otherwise
  • all present voted in favor

Budget

  • El Salvador
  • $8-9000 estimated cost for december el salvador cost. Could be more.
  • 4 students will go with Malia and Greg. EWB-USA is alright with that no one with a PE is traveling

Kenya

  • They have a $1500 credit with NW air
  • ~$2500 more needed (on the safe side). This will cover surveying and looking for a well location
  • They travelers will stay in Lela the whole time for safety
  • banquet: funding has been paid from general fund. $1500 to start up.
  • Expenses for the venue are due by December
  • We will buy dishes to be used at both banquets

Documents from nationals:

  • They have sent out lots of new rules
  • Scott will send out emails and notify those they might pertain to.

Greg Mines from the Portland Professional Chapter has talked to us about splitting regional workshop in early january

  • It will cost $1500 between all participants
  • they will plan it out
  • We might sell tickets to public to reduce cost
  • Other Oregon chapters are dormant, not responsive yet
  • this would be a good opportunity if more chapters split it with us. We can send lots of people for little cost
  • We also need more support from PE’s in the future, we can build contacts
  • We will offer to contribute $300-500. We are interested but want more chapters to split costs

Workshops

  • We need to brainstorm workshop ideas, Jason, a local contractor, has volunteered to help
  • The organic growers club has approached us for another rainwater catchment this term. We would need for it and TAC approval.
  • surveying
  • -low tech
  • -high tech – gps and gis
  • water quality – ccw might help
  • We will go for water quality first this term on a Saturday from 10:00-2:00

A Forest service employee wants to be a mentor. He has worked in Africa.

  • We will introduce him to interested board members soon

El Salvador Travel application

  • Some board members need to look at El Salvador travel application for Michelle

Meeting plan tomorrow:

  • Groups: el salvador, kenya, PR/fundraising
  • Brad will announce ways to help with the banquet
  • physical banquet ticket to give to people might encourage them to go.
  • donuts will be sold Monday outside of dutch bros
  • They would sell really fast on a game day, something to keep in mind
  • presentation – We will talk about the value of being in group beyond just traveling. (Visual will be included)

  • New member plug ins:
  • In El Salvador project: conversation about whats going on in el salvador. Changes in project. We also need a copy of recent legal work in country

  • asking for banquet volunteers

$360 will be payed for the Kenya Banquet venue
